Consultation

We’ll schedule a call to discuss the project you have in mind, reviewing important details about the process you want to document as well as any deadlines or restrictions you may have.

Research

Next, I’ll get the ball rolling by beginning the research phase.

I will meet with one of your subject matter experts to see the process or policy in motion and learn all about it.

Documenting

After I’ve immersed myself in it, it’s time to start capturing the process.

At this point, I will develop the step-by-step instructions along with any relevant screenshots or graphics.

Editing & Reviewing

Once I have fleshed out the procedure into a true technical document, I’ll kick things back over to you for review to make sure everything looks just right.

Publish

If everything looks ready to go, we’ll publish the final product to your business’ website (or wherever your preferred hosting platform might be) to be accessed by your users.

We’ll schedule a call to discuss the project you have in mind, reviewing important details about the training program as well as any deadlines or restrictions you may have.

Research

Next, I’ll get the ball rolling by beginning the research phase.

This means meeting with one of your subject matter experts to discuss your training materials and learning all about your current program(s).

I’ll also do a deep dive through your resources and check it all out in detail.

Analysis

Once I’ve collected all the materials and researched your training program, I will begin analyzing everything to provide a detailed evaluation and summary of my findings.

This is what I will use to help me determine next steps and personalized recommendations.

Documenting

Editing & Polishing

As soon as the training documentation has been fully drafted and laid out, I will begin editing and refining it to best reflect your business’ needs.

At this point, we also may schedule a call to review any items identified in the documentation provided together.

Hand-Off

Once we’ve finished all those final touches and wrapped everything up, it’s time to turn the keys back over to you and hand it off!

Depending on the service provided, additional, phased follow-up may be requested.

Collaboration

Once I have something drafted, we’ll meet to review and collaborate on the next steps. This might mean we enter another phase of creation or maybe we begin editing & polishing in preparation for the final stage.

Publishing

If everything looks ready to go, we’ll publish the final product and go live to the public with it!

Depending on the project, we may want to schedule a follow-up to officially hand things off. But otherwise, you’re all set!

Great question! To put it simply, documentation is one of the major cornerstones of any good business model because it has such a direct impact on the performance of your employees and your business.

When done correctly, effective documentation captures your processes and policies and breaks them down into simple, meaningful records for your learners to digest and reference. Thus, the better the documentation, the better — and more consistently — your learners will perform the process(es) in question.

These important technical documents act as a framework to establish a standardized norm for the typical use case within a given process, while calling attention to any exceptions. They also serve as a historical record of how things may have been done in the past – if and when things change – saving your teammates time spent digging through emails to find a paper trail. And when your team’s SME takes a much needed vacation or gets promoted to another position, the rest of the team needs to have their knowledge documented somewhere so you don’t lose all that valuable information!

Why not use AI to generate my own documentation?

With the rapid influx of AI technology that has become widely available online, it can be tempting to shrug your shoulders and just pop some key words into a service like ChatGPT to build your documentation. However, this seemingly simple solution has a few kinks that may make you reconsider.

First and foremost, an AI service simply isn’t robust enough to do what a human learner can: refine the complex into simpler terms.

Sure, AI might be able to build you the framework for a technical document that explains the step-by-step process. However, there is no interpretation piece in play when it comes to AI. These programs will only be able to write the procedure in the same terms that it is explained elsewhere in its databases. In other words, if the only way a procedure is explained is by the braniacs who live and breathe these topics/concepts everyday, the procedures generated by the AI will use the same type of convoluted, highly technical vocabulary to build the procedures.

This does nothing to simplify or appropriately explain these terms to a first-time learner, aka the average user who will read your documentation. As a result, your users won’t get the information they need, or will completely misunderstand it. You need a fresh pair of human eyes who can learn the process, interpret it, and write it out in a way that your users will easily understand.

Secondly, AI programs may not be a secure or reliable method for you to procure technical documentation.

These AI programs that are readily available are open to the public and use the information provided by their users to improve their functionality. This sounds great in theory – the more people using the services, the better the AI will become. However, this also means that any data you provide when entering your prompts (i.e. any internal company data) is then shared with the program and added to the shared database for future use. As a result, the security of your company’s processes, data, or other trade secrets has been compromised and made accessible to anyone else who uses that service. Definitely not a good look if you’re trying to keep your business safe and secure!

As someone who has worked with companies that have special policies in place to keep their information private, I know firsthand how important it is to restrict the details of your business to only those you can trust.
